Job description
The position of the Receptionist/Administrative Assistant consist of not only being responsible for answering incoming calls, but to also provide administrative and clerical services in order to ensure effective and efficient operations.

Receptionist/Administrative Assistant Task:
Answer incoming calls positively and warmly
Accurately directs caller to the appropriate people courteously and professionally
Returns to calls placed on hold every 45 seconds, giving the caller the opportunity to continue holding or to leave a message.
Answers clients accurate phone messages, with call back numbers, area codes, and names legibly written and promptly relays message t the proper person
Maintains a neat and tidy reception are, replacing magazines as received.
Greets incoming clients and visitors in a friendly and positive way.  Will quickly notify the person bring visited.
Offers coffee or other refreshments to clients or visitors
Administrative Task:
Attend meetings take notes
Conduct research, compile data, and prepare papers for consideration and presentation by executives
File and retrieve corporate documents, records, and reports
Open, sort and distribute incoming correspondence, including faxes and email
Order supplies, maintain records management data base systems and perform basic bookkeeping work, using QuickBooks
Prepare invoices, reports memos, letters, financial statements and other documents, using Microsoft Office.
Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution.

Receptionist/Administrative Assistant Qualifications and requirements:
4+ years of solid background in reception and administrative support
High school diploma or equivalent
Bachelor's degree preferred, but not required
Bilingual Spanish preferred
Ability to give full attention to detail and communicate effectively.
Actively look for way to assist people
Ability to multi-task and have organizational skills.
Software: Microsoft Office and basic QuickBooks
Light bookkeeping experience
