We are currently searching for a savvy document specialist to help create and distribute the busy flow of our company26rsquo;s highly varied document products to our clients nationwide.
The work you will perform shall guarantee that our deliverables meet the highest quality standard our clients have come to expect while maintaining our internal protocols for Segal branding and quality control.
The successful candidate will be an energetic person, able to pivot and assist in various capacities when needed, work well under pressure while never sacrificing a critical eye for extreme detail. You will be interacting with numerous people across all aspects of our West Region offices.
The Staff Assistant will join a team-oriented and energetic group of colleagues responsible for providing excellent office support services in the San Francisco Office. The incumbent will have opportunities to learn about Segal26rsquo;s business systems and markets.
The role functions primarily to prepare thorough, error-free and visually presentable reports and other work products and, to provide administrative support to a unit or department operation and client (internal and/or external) servicing activities.
Responsibilities include but may not be limited to:
Incorporating editing and proofing changes to reports, correspondence and other documents in Word, PowerPoint and/or Excel formats; formatting corrections to documents as needed; etc.
May assist in preparing complex reports to senior management and high level presentations for internal/external meetings, etc.
Distributing information and correspondence to unit/department members, vendors, clients and prospects as directed; etc.
Scheduling internal/external meetings; providing logistical assistance to meeting preparations to include coordinating with vendors, suppliers and other outside parties as needed; etc.
Creating, updating and maintaining electronic and manual files and databases for internal and external application; maintaining a neat and orderly work station; etc.
Tracking information and conducting Internet or other research as requested, etc.
Coordinating daily schedules of unit/department members. Preparing expense reports.
Planning and implementing work assignments; taking accountability for ensuring that own work is accomplished in a timely, high quality and efficient manner.
Copying, filing, faxing and providing other support services as requested; distributing mail, preparing special mailings for transfer to the mailroom; etc.
Responsible for maintaining up-to-date descriptive manual of own work processes to ensure smooth operations during job incumbent absences or departure.
May be involved in providing technical coaching and/or mentoring to newer administrative staff members and, peer reviewing other staff assistants work as requested.
2-5 years of executive level support experience, preferably within a service oriented environment.
Demonstrated ability to handle multiple tasks and meet multiple deadlines within agreed upon timeframes and mandated quality standards.
High school diploma or equivalent; may have some college experience.
Computer aptitude and facility with all Microsoft Office programs (e.g., Word, Outlook, Excel, PowerPoint).
Project management skills and knowledge. Effective interpersonal and communication (oral/written) skills.
