Job description
Essential Job Functions:
* Provide administrative support for Vice President, Education Program Development and education managers, directors and conference planning committees
* Handle database needs using the database, to include: preparing lists for survey distribution and educational marketing campaigns, preparing invoices, tracking sales and general maintenance of accurate membership records
* Assist the Education department with compiling conference mailings, recruiting respondents and attendees, logging surveys, posting information to the website, and facilitating the department's weekly update
* Assist with the coordination of education conference speaker proposals, speaker communication letters, and collection of speaker collateral, using Cadmium CD, our web-based speaker management tool
* Assist with creating, editing, and posting of speaker presentation slides including: creating templates, creating title slides, and converting slides to PDFs for positing
* Coordinate with conference managers on awards and certificate programs as necessary
* Coordinate the conference survey process, to include: creating and setting up the conference surveys in the online survey tool (currently Survey Monkey), creating the letter which accompanies the survey, sending the survey to all attendees, sending reminders, and creating a survey evaluation summary
* Provide content management and coordinate cross-departmental collaboration to develop and maintain conference mobile apps under the direction of conference managers
* Assist with updating the Education web pages and Events Calendar. Regularly audit web pages and solicit changes from Education manager and directors
* Assist with organizing and managing webinars, to include: pre-webinar setup, speaker run through, host assistance and support on the day of the webinar, and post-webinar support
* Assist with budget tracking and department invoices as needed
* Assist with committee meeting arrangements and any other internal and external meetings to include: catering, reservations, and meeting room organization; Assist with the preparation of meeting documents and other support for meetings
* Provide lunch and break support for the front reception desk as needed

Other Job Functions:
* Provide administrative support to include: faxing, copying, mailings, filings, answering phones, FedEx/UPS coordinating, etc.
* Maintain central Education files
* Assist other division staff as needed
* Provide lunch and break support for the front reception desk as needed
Physical Requirements:
Normal office environment requiring use of typical business equipment (e.g., computer, telephone, fax and copier). Ability to travel to meetings and conferences to perform on-site administrative duties and coordination of activities.

Education, Skills and Experience:
* College degree and/or a minimum of two years of prior professional work experience
* Course work in Adult Learning is a plus
* Computer and Internet expertise with an excellent working knowledge of Microsoft Office products, including Word, Excel and PowerPoint, and familiarity with Survey Monkey and Adobe Connect
* Ability to understand and use database software to process and maintain spreadsheets
* Familiarity with Cadmium speaker management and mobile app tools is a plus
* Excellent telephone and interpersonal communication skills
* Familiarity with business uses of social networking tools such as Twitter, LinkedIn, Instagram and Facebook
* Strong writing and proofreading skills
* Excellent project management skills with strict attention to detail
* Must be self-directed with excellent time and project management skills with an ability to organize and prioritize multiple tasks with minimal supervision
