Job description
Leading real estate investment firm in Irvine is adding an IN OFFICE Reception/Office Assistant to their team.  This role is temp to hire or direct hire.  NOT A REMOTE ROLE.
 

Summary
Provides administrative duties while interacting with clients, investors, vendors and employees. Individual is required to demonstrate a polished and professional attitude and appearance. Possess strong customer service skills, excellent phone etiquette and strong technical skills.

Job Responsibilities
  • Answering main reception telephone, taking messages and transferring calls.
  • Greeting visitors.
  • Maintaining conference room schedules.
  • Compile and mail marketing brochures and other materials to investors, vendors, etc.
  • Opening/distributing mail and logging incoming checks.
  • Maintains supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to work stations.
  • Coordinating company luncheons.
  • Ensure all office equipment is working properly and contacting vendors for service calls.
  • Event planning, venue scheduling and execution assistance. Coordinate and maintain guest list for multiple events. Help assist in location scouting and pricing.
  • Data entry for Salesforce/CRM and FINRA Broker check.
  • Compile and submit expense reimbursement reports.
  • Acts as the Emergency Preparedness representative for Company Suite.
  • Ensure all office area including kitchen and meeting rooms are well kept, clean and organized.
  • Assisting others in the office on various projects, when available.

Must have:
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint); scheduling appointments/updating calendars.
  • Friendly and professional demeanor.
  • Prefer 2 plus years Admin support experience in Financial Services, Investment or Real Estate Industry
  • High School diploma or equivalent; associates or bachelor's degree preferred.
