Job description
Part Time Receptionist needed for a Property Management company in Newport Beach.  The hours are 1:00 pm-5:30 pm.  This is a direct hire opportunity.
The qualified candidate will be responsible for: 
  • Screens and directs all incoming telephone calls.
  • Takes accurate and complete messages as needed.
  • Greets and announces all guests/visitors.
  • Retrieves and distributes incoming inter-company, overnight, and U.S. mail on a daily/regular basis.
  • Prepares overnight shipping as requested.
  • Transmits and distributes all faxes as requested.
  • Operates office equipment such as computer, copier, postage machine, and fax.
  • Separates filing and periodically files on an as need basis as requested by office staff.
  • Transcribes drafts to typewritten copy on an overflow basis only.
  • Assembles office supply list and places order upon approval of supervisor.
  • Performs other job related duties as assigned by supervisor including:
  •   Maintain front office lobby
  •   Maintain conference room(s) and organize after meetings
  •   Monitor and stock refrigerator(s) daily with company ordered beverages
  •   Monitor and stock coffee supply with company ordered coffee
  •   Empty and fill dishwasher as needed, running dirty dishes each Friday afternoon not earlier than 4:00 p.m.
  •   Monitor and stock paper supply for all centralized/common printers, copier and fax machine
  •   Monitor and stock copy paper supplies in supply drawers
  •   Monitor and stock company letterhead and envelopes
  •   Monitor and stock printer and copier toner
  •   Maintain organization and supply of overnight shipping materials
  •   Water plant(s) on balcony once each week
  •   Assist when others need help
  • Maintains front desk calendar.
  • Acts as liaison with Building/Office Management company for purposes of general work order reqeusts.
  • Plans and organizes time effectively.  Prioritizes workloads efficiently while maintaining a professional demeanor with an emphasis on staying at receptionist desk.
  • Interacts well with all levels of staff and outside business associates; demonstrates qualities of being a team player.
  • Exhibits punctuality and dependable attendance record.
  • Exhibits professional dress on a daily basis.
