Job description
Manages the organization's lobby area. Greets and directs all visitors, handles incoming
calls, processes incoming and outgoing mail, handles special administrative projects, as
well as overflow work from departments, including word processing, data entry and internet
research tasks. This position operates under the direct supervision of the Office Manager/HR
Generalist. Standard hours are 8 am to 5 pm with a lunch at 11 am.

Essential Job Functions:
 Receives 100% of all telephone calls (main line) and visitors promptly, accurately,
professionally and courteously
 Assesses 100% of received calls/inquiries and directs and/or records and relays
messages promptly, accurately, professionally and courteously
 Uses all features of the telephone system and voice mail adeptly
 Replenishes routine office supplies (e.g., copier paper) and reports maintenance issues
 Uses security intercom system to enhance building security
 Forwards organizational emails to appropriate staff promptly and accurately
 Prepares and processes 100% of outgoing mail to include: sorting, and preparing
certified/overnight/return receipt mail
 Updates the organization's mailing database (currently using Microsoft Access)
 Opens and legibly and appropriately stamps, as applicable, delivered mail and sorts and
distributes into appropriate staff boxes
 Distributes faxes into appropriate staff boxes and sends faxes as requested
 Develops and maintains comprehensive knowledge of organizational resources;
provides information, referrals and if necessary, follow-ups
 Signs for deliveries when necessary and notifies recipients
 Assists in the closing and securing of the building at the end of the working day

Minimum Experience:
Experience in operating a multi-line phone and clerical work. Graduation from a standard
senior high school or equivalent is generally preferred. Bilingual Preferred -
English/Spanish. Experience and education may be substituted for one another
