Ultimate Staffing is searching for a Bilingual Administrative Assistant/Safety Coordinator to join one of our clients on the East side of San Antonio.
This position will consider a salary of $38k to $41k depending on experience. The ideal candidate must be proficient in MS Excel, MS Word and handle document control software. This position will work in an office and frequently in the field.
Bilingual in Spanish- SPEAK, READ and WRITE is a requirement for this role.

Bilingual (Spanish) Safety Administrative Assistant will support the Safety Director in developing, implementing, and maintaining the Company's Health Safety and Environmental compliance programs.
Responsibilities include but not limited to managing employee training documentation, internal and external document control, tracking of employee certifications, assist with HSE compliance demands, and other duties as needed.
Perform quality work within deadlines with or without direct supervision. Interact professionally with other employees, customers, and suppliers.
Work effectively as a team contributor on all assignments. Support the efforts of management, work independently while understanding the necessity for communicating and coordinating work efforts with other employees and the organizations.
Work safely within the company safety manual guidelines, HSE safety programs, and industry best practices. Responsibilities include:
Handles all administrative reporting via email, or by phone.
Ensures CDL Driver Qualification files are kept up to date with daily monitoring.
Ensures all Safety Training Records are up to date in Smartsheets. Maintains an up-to-date Employee List, inside the Active Employee Smartsheet
Maintains Smartsheet documentation as it relates to training records, employee list, embark alerts, DQ files. Creates weekly, monthly schedules, and safety meeting sing in sheets for Safety Director.
Edits Safety Manuals for all locations, as needed throughout the calendar year for training.
Providing Safety information to Supervisors, co-workers, by phone, in person or email.
Assists Safety Director with workers compensation claims, managing restrictions and return to work activities with individual cases.
Coordinates with Safety Director the development and implementation of Safety Procedures and policies. Prepares, updates, or responds to employment records request from third parties, Embark, or Travelers Insurance as related to DQ files, or other company drivers.
Recycling and filling old files, to dead storage as required maintaining training records for safety. Helps manages record keeping and reporting requirements for OSHA. Maintaining state and federal safety standards and regulations, OSHA logs throughout the calendar year.
Maintains a list of PPE requested by supervisors, employees, and the Safety Director as needed. Distributes employee PPE, records PPE used, and maintains PPE inventory. Guide and assist work personnel to ensure a clean, safe, healthy workplace.
